This section is here to help you get the most out of 360data.

Can I just use the pdf version for my review?

The pdf version is a useful aid to schools carrying out their review, but does not provide all the interactive functionality of the online tool – including the improvement actions, reports and links to good practice documents. We recommend you only use the pdf as a useful offline document.

How many accounts can each organisation have in 360data?

The tool works on the basis of one administrator account for each organisation.

The Administrator can manually add additional users to the tool, who will also be able to log into the organisation’s 360data account and work collaboratively within it.

It is important that if the Administrator leaves the organisation or changes, that the organisation informs us by emailing 360data@swgfl.org.uk in order that we can allocate Administrator rights to the new relevant staff member.

How many staff members in an organisation can register for 360data?

There is no limit to the number of people who can access the tool, in fact we encourage a team approach to using the tool and reviewing each aspect.

There is one Administrator user only and an unlimited number of additional users.

Is there a charge to use the tool?

Yes, there is a charge that covers set-up and hosting fees. If a school wishes to apply for the accreditation (once launched), further charges will be made and details will be found under the Accreditation tab.

What is 360data?

360data allows organisations to review their data protection posture and provision, benchmark it against good practice and other organisations, produce action plans and access good practice resources

Where can I find additional information about the tool?

The help pages include a Start Guide, Structure Map and a pdf version of the tool content.

Can I register additional users?

Log in to 360data and click on the “my account” button. From here you can add users.

Can I reset my password?

Yes, is you are able to login, please navigate to the ‘my account’ section and change your password there. If you are unable to login, please contact us and we’ll gladly re-set your password for you.

How do I register my school to use 36data?

Please select the “Purchase Now” option and follow the instructions to activate your account. Should you need help, please contact us.

How do I carry out my review?

You should click on the “Review” tab and then on an Element (eg Policy and Leadership). From here the aspects for that element will load. Please use the arrow buttons or drop down menu to navigate through all the aspects for that element. There are 16 aspects and you can review them in any order you wish. The improvement action will automatically change depending on which level statement you choose.

What are the level statements?

Each aspect has five level statements (5 to 1). You should choose the statement which is closest to that which applies to your organisation and on the statement. This will load the improvement actions and save your rating automatically.

What are the text boxes for?

You can use the Evidence, Action Notes and Comments boxes as you wish. If you think you may apply for accreditation you will be required to describe your provision for each aspect in the comments box. You could use the boxes to work collaboratively with others in the school or with an external consultant.

What reports are available?

There are four different reports available to schools under the Review / Reporting tab.

How can I save my reports?

To save your report you must either print it or export it to Word or Excel. It then becomes a saved report and will appear in your saved reports list. You can save up to 20 reports until the tool overwrites the oldest report.

What accreditation is currently available for 360data?

There is no accreditation currently available for 360data. In time, we hope to be able to work in partnership and offer a compliance mark with a higher, aspirational level mark also available. Further details about these will be release soon.

How can I get further support?

If the FAQs do not provide the answer you require please contact us. The tool is intended to be easy to use, external consultancy can be offered to organisations who may require it – charges would be made for this. Please contact us to discuss this further.
